Who we are
NutraTech provides clinical decision-support software for Registered Dietitians working in skilled-nursing and long-term-care facilities. Our software reads a resident's chart and prepares a pre-visit brief and a draft nutrition note for the dietitian to review and sign. This statement explains how we handle information.
Information we handle
- Account information — the names, email addresses, and roles of the dietitians and administrators who use the software.
- Protected Health Information (PHI) — resident chart data (such as weights, labs, vitals, medications, allergies, and clinical notes) accessed from a facility's electronic health record, solely to prepare nutrition assessments and draft notes. We handle this PHI as a HIPAA Business Associate under signed Business Associate Agreements.
How we use it
- Only to provide the service — preparing pre-visit briefs and draft notes for the dietitian, who reviews and signs all output.
- Resident data is de-identified before any AI processing; identifiable information is not sent to the language model.
- We do not train AI models on identifiable PHI, and we do not sell information or use it for advertising.
How we protect it
Information is encrypted in transit and at rest, access is role-based and audit-logged, and processing runs in a HIPAA-eligible, BAA-covered cloud environment (Amazon Web Services). We maintain administrative, technical, and physical safeguards consistent with the HIPAA Security Rule.
Who we share it with
We share information only with subprocessors that are bound by Business Associate Agreements (for example, our cloud infrastructure provider) and only as needed to provide the service. We never sell information.
Data retention
We retain information per our agreements with each facility. On termination, PHI is returned or securely destroyed in accordance with the applicable Business Associate Agreement.
